Administration, Office management • Process incoming and outgoing correspondence (post mail, e-mails) • Arrange accommodation, transportation, visa, embassy information and other logistic requirements as needed for AVP, visitors, new colleagues • Order office supplies, communicate with vendors, deal with contracts (office supplies, hotels, travel) • Act as the first point of contact for employees and vendors (answering employee questions regarding office matters) • Resolve office-related malfunctions and respond to requests or issues • Provide and arrange translations • Update of files (TEAMS files, contact lists and other files on request)
Assistance to AVP (Executive) • Manage AVPs’ calendar and set up meetings (virtual and in-person) • Communicate with different stakeholders and schedule various meetings • Prepare reports, documents, and contracts for signing (photocopies, scans, printing, notarization) • Make travel arrangements and travel itineraries • Deal with incoming email and post and correspond on behalf of the AVP • Oversee meeting important deadlines and tasks for AVP • Handle requests and queries in an efficient and polite manner
Assistance to AGC • Arrange the travels (price quotes, pre-approvals, expense watch reports),
